Access to the Payroll System and Report Writer

Overview

One of the concerns when outsourcing payroll is the perceived lack of visibility. Having access to the payroll system allows the administrator to view all the payroll screens that their consultant can see. This gives visibility of the payroll and allows the administrator to answer employee queries, retrieve archived reports from previous pay runs and run standard reports. Having access to Report Writer means the administrator can write and run their own customised reports.

We recommend any client with more than 50 employees have access to the payroll screens and Report Writer.

Multiple persons can be granted "view" access to the payroll screens and access to Report Writer. Access can be limited based on the employee's pay group or given for all employees e.g. one person may be able to look at all employees where another can only see the weekly pay group. Access is the same whether viewing the payroll screens or extracting data from within Report Writer. Once access has been given to a pay group, the administrator will be able to see all information for these employees i.e. we cannot limit what they can see for each individual employee.

As the access to the payroll system is "view" only, there are no edit functions. However, access to Report Writer will allow you to create your own reports, modify existing (non-standard) reports and delete reports that have already been written for or by your company. If you change or delete any existing reports, we can't recover them, so care is required here. 

Client Responsibilities

Please provide the following information to your consultant to gain additional access for any users:

  • The request must be made in writing e.g. via email or through the DA portal
  • The request must be made by one of the current authorised contacts
  • The new administrator's name and email address (if it is for a non - employee) or details of the existing account to be granted the additional access
  • The type of access that is to be granted e.g. All or a specified Pay Group.

EasiPay Responsibilities

Your consultant will:

  • Create the account using the email address and name that has been provided or amend a current user account
  • Check with the client to see if they would like to arrange a training session to show the user how to use the system
  • Send a link to the new user's email address so they can download the application
  • Send through the Report Writer manual if required.

Additional Notes

  • There is a monthly charge for having this access
  • Training can be provided for both the payroll system and Report Writer
