Transfer Employee to New Pay Group

Occasionally employees will need to shift between Pay Groups. The timing of such shifts can often be quite difficult due to different pay frequencies, DC dates and how some pay groups may been paid in advance while others are paid in arrears.

While the Pay Group field will act the same way as most others in that it will automatically end date the previous value when adding another value over top, for Pay Groups we strongly advise manually End Dating the old value before adding another. This is due to the large amount of background processes that happen when moving Pay Groups, which happen smoother when done in two steps.



To change an employees Pay Group, navigate to the Employee tab and select the required employee. Right click on the existing Pay Group link and select Edit.




Enter an End Date of one day before the new Pay Group will start. Once this has entered, save the screen to process this change before entering a new Pay Group link.




Note: there should be no breaks / gaps in Pay Group links – the next Pay Group must start the day following the previous Pay Group End Date. The only exception to this are breaks in employment.E.g. if an employee finishes in Pay Group 1 on Friday the 5th, and starts work in Pay Group 2 on Monday the 8th, there cannot be a gap of two weekend days. Either Pay Group 1 needs to be End Dated on Sunday the 7th, or Pay Group 2 needs to be started on Saturday the 6th.


Once the previous Pay Group End Date has been saved, click on the Add button to start the new Pay Group link. Typically the Start Date of the new Pay Group needs to be the same calendar (not work week) day after the previous Pay Group link was end dated. The only reason this would not be the case is if the employee did not work for the company for a period of time.
