Data Import - Free Text Fields (bulk)

Values for the Free Text Fields on the employee details page are able to be bulk imported by the Support Team. If you only require a handful of new Free Text Fields then all client users with the Payroll Administrator role are able to import a single Free Text Field value at a time via the tool on the Company Options page in DataPay. Information for filling out the template:

• Do not remove, rename, or add any columns to the import file.
• The file must be .csv format - not .xslx or .xlx
• Column 1 "dropDownName": use this column to list all the new Free Text Field values you need to import. Please ensure correct spelling as values cannot be edited once imported. The import does not check for duplicate values.
• Column 2 "bucketTypeName": this is the Free Text Field this particular value should be imported in to. Different Free Text Fields can be imported to in the same file.
• The import requires the original field name e.g. "Employee Free Text Field 1". The display names you may have renamed the fields to cannot be used e.g. "Manager" or "Team" 
• Column 3 "companyCode": enter the company code the new Free Text Field values are to be imported to. This column needs to be completed for every row, and there can only be one company per imported file. If you wish to have Free Text Field values imported into multiple companies you will need to supply multiple files.

Note: As with the single import tool available on the Company Options page, importing values in to a Free Text Field will convert the field from simple text values to a combo box / drop down field.

This tool is only designed to import new values into the Free Text Field drop down box - it is not able to assign Free Text Field values to employees. To do this you will need to use the Bulk Change Wizard.

• We are not able to alter / modify / make corrections to any data supplied.
• Data to import must be supplied in the correct format for our system to accept using the supplied templates. We cannot convert data into this format on your behalf.
