Data Import - Historic Leave Earnings



Data can be imported into the Historic Leave Earnings screen for employees via a Datacom only import. This import is not directly available for clients to use at this time.

Data must be supplied in the correct format using the supplied template which is attached to this page.


Information for filling out the template:

  • Sample rows have been left in the template as a guide - please remove these before submitting the file to the Support Team for import.
  • The template column headers are slightly different to the column names shown in the Historic Leave Earnings screen, however they are in the same order / position. Do not remove, rename, or add any columns to the import file. 
  • Not all columns need to be filled in, however this would typically be the case for most employees. Any non-required columns should be left blank
  • The 'UnpaidAbsentWeeks' column is typically left blank (do not put 0 for fully worked periods), however may be used to to indicate if a period was only partially paid / worked. This will impact Leave Rate Calculations.
  • The 'Company Code' column must be filled in for every row, however only one code can be used throughout the entire file - i.e. if you need to import for two companies you will need to use two separate import files.
  • Do not include $ signs in the three amount columns.
  • Whilst all three amount columns are typically the same value, this does not need to be the case for all periods or employees.
  • The 'PPE' or Pay Period End column needs to have dates which match both the frequency AND dates of the employees CURRENT Pay Group. For example if an employee was paid weekly in a previous payroll system but will be paid fortnightly within DataPay, you will need to combine 52 rows of weekly data in 26 rows of fortnightly data with PPE dates which line up with the Pay Groups period schedule.
    The same conversion needs to happen for Monthly to/from Weekly/Fortnightly frequencies, but is more complicated.

  • Datacom charges our standard consulting rate for any imports completed on behalf of clients. There is a minimum charge of 1 hour.
  • We are not able to alter / modify / make corrections to any data supplied.
  • Data to import must be supplied in the correct format for our system to accept using the supplied templates. We cannot convert data into this format on your behalf.
