Data Import - DataHR Data
Data can be imported into some DataHR / ESS / DA fields via a Datacom only import. This import is not directly available for clients to use at this time. Text fields, combo box data and boolean values can typically be imported, however if you are unsure please check with the Support Team on whether what you are looking to import is possible.
Data must be supplied in the correct format using the supplied template which is attached to this page.
Information for filling out the template:
- A sample row has been left in the template as a guide - please remove this before submitting the file to the Support Team for import.
- The 'Company Code' column must be filled in for every row, however only one code can be used throughout the entire file - i.e. if you need to import for two companies you will need to use two separate import files.
- An employee can only have one row per file. They can of course have multiple columns filled out in that row.
- We would suggest against using codes or values with leading zero's such as '01' or '002' as when using these codes in reports they will often be trimmed to '1' and '2' potentially causing difficulty in the future.
- The import can be used to update employee Combo Box fields (drop down fields) however the exact value available in DataPay / ESS / DA must be used in the import file. If DataPay is expecting 'Band01' and the value 'Band01 ' or 'BandO1' is imported, the import will not update the employee field. The import process does not notify Support Team when a Combo Box value was not imported successfully. The responsibility rests with the client payroll team to ensure the data in the import file is correct.
- An Effective Date can be included in the import file for each row if desired. If no effective date is provided in the file, then the import will use the date selected for the file when going through the import process. You can set dates for some rows/employees, and leave others blank - in that scenario any employees with an Effective Date in the file would use that, and those without a date would use the date set by the Support Team when importing.
- Data can be imported into both Views and Forms on ESS / DA - however only one should be imported at a time. Please split fields into multiple files if required. Note that importing into a View will update the data, while importing into a Form will create a new form for the employee, meaning that all fields in that Form should ideally be in the import.
- Not all columns need to be filled out for each employee. If no change to the data is required simply leave the cell blank.
- Data for Boolean fields can be imported (e.g. tick boxes, Yes / No options) and should be in the form of '1' or '0'. The value of 1 is ticked / yes, and 0 is un-ticked / no.
Please note:
- Datacom charges our standard consulting rate for any imports completed on behalf of clients. There is a minimum charge of 1 hour.
- We are not able to alter / modify / make corrections to any data supplied.
- Data to import must be supplied in the correct format for our system to accept using the supplied templates. We cannot convert data into this format on your behalf.
- The responsibility rests with the client payroll team to ensure the data in the import file is correct.
