User Roles
User Roles within DataPay are split into two categories - those for the DataPay Client and those for the DataPay Web Client (ESS / Direct Access).
While a number of the roles share a name, they will only grant access within their specific application.
Some roles you have may not be listed here. These are specialist roles for very specific situations which only Datacom employees can assign to user accounts.
Note: Roles are ever evolving and with new functionality being added to DataPay the access of each role may change.Â
The below information is meant as a guide only - if you are looking to restrict access to sensitive information for a specific user we suggest you create a temporary user account to test exactly what access it has.
DataPay Client
Role Name | Description |
---|---|
Payroll Administrator | Highest level Client user role. Has access to all modules and all tabs available to clients, with the exception of the Report Builder module in the Reporting tab. When using the Payroll Administrator role, it is standard to also have the Payroll officer role. |
Read Only Payroll Administrator | Same access as the Payroll Administrator role but has Read Only access. |
Payroll Officer | Has full access to Employee, Pay Run and Pay Packet tabs, all other tabs are restricted. The Payroll Officer role grants access to the DataPay application, so is a required role. |
Read Only Payroll Officer | Same access as the Payroll Officer role but has Read Only access. |
Company Report Builder | Gives the user access to the Report Builder module under reporting tab. Allowing the user to open, export and create new reports. |
Read Only Company Report Builder | Gives the user the ability to open, make small adjustments, and run / export reports. Users can adjust the Filter and Sorting tabs, as well as change the report search settings, however the Design tab is inactive. Changes are unable to be saved. |
Company Audit Officer | Gives the user access to the Audit Report module, allowing them to open and create audit reports. |
DataPay Web Client
The information able to be viewed and edited in ESS / Direct Access is much more customisable than the DataPay application.
There are multiple different modules that can be enabled / disabled, including the DataHR module which can further customise which fields can be viewed / edited.
Please note that some modules incur monthly charges per user or employee.
Role Name | Description |
---|---|
Employee Self Service | This is the basic role for employees with online payslips or timesheets. This role allows the user to log in to ESS / DA to view and update their personal information, and view their payslip history or inputtimesheet hours (if these modules are enabled). The amount of information employees can view / edit can be managed through the DataHR module. |
Payroll Administrator | This role adds four additional tabs, Leave, Company Structure, Configuration, and DataHR. |
Payroll User | A Payroll User has access to the Pay Run, Employee and Preferences tabs. A Payroll User can send employee change requests, upload and approve timesheets, add new employees and send Pay Runs to be processed. |
Dashboard User | A Dashboard User has access to the Executive Dashboard tab which shows multiple interactive widgets showing different of company statistics. |
Manager Dashboard User | This role allows the user to view additional widgets which are exclusive to managers. If you are both a Dashboard User and a Manager Dashboard User, there is a button located at the top right where you can switch between Executive view and Manager view. |
Company Organisation User | This role allows the user to view and assign / move employees within the Company Organisation Structure (if this module is enabled). However, this user cannot assign proxy relationships. |
DataHR Administrator | This role allows you to manage the templates, fields and permissions that employees can use to upload and provide additional information. |
DataHR Field Administrator | This role is the same as DataHR Administrator except does not have access to Manage Templates. |
Remuneration User | Adding this role allows the user to view their Remuneration History in the Web Client. When given in conjunction with the Payroll Administrator role it allows the user to access the Custom Benefits screen, and create benefits / assign employees to benefits. Adding this role allows the user to also remove assigned employees from Custom Benefits and remove Custom Benefits (only those with no employees assigned). |
Remuneration Administrator | In addition to to the Remuneration User role access, this role grants access to edit Remuneration History and Benefit Management in the Web Client. When also combined with the Payroll Administrator role it allows the user to access Custom Benefits screen. Adding this role allows the user to also make benefits Obsolete, remove benefits with no assigned employees and change existing benefit values only. |
Workflow Administrator | This role gives access to the Workflow tab allowing the user to manage existing workflows and create new ones. The Workflow Module is part of DataHR. |
Pay Run Authoriser | The role of Pay Run Authoriser is to authorise the pay run before the pay run can be finalised. Each pay group has the option to Enable Pay Run Authorisation and to also select the number of authorisers it requires. For more information on Pay Run Authoriser, view the article available on DataHelp. While this is a Web Client role it is strongly tied to the Client application. |
Leave Screens User | This role allows the user to view and change leave requests and to also view leave balances. |
Deny Leave Access | This role denies access to the leave tab. This does not override the Payroll Administrator role, and is designed for Direct Access only. |
Deny Timesheet Access | This role denies access to the timesheets tab. This does not override the Payroll Administrator role, and is designed for Direct Access only. |
