Bulk Change Wizard



The Bulk Changes function can be utilised for updating existing values assigned to employees. This includes items such as Pay Rate, Pay Rate Option, Free Text Fields, and Occupation.

Note that as it is a 'change' function it cannot be used to assign new component to employees. Please also note that changes are effective at 'Employee' scope, so this tool may not be appropriate in all situations.



To open the tool navigate to the 'Company' tab and select 'Bulk Changes' in the ribbon.




The employees can be filtered based on a unique characteristic to ensure that only the data for a subset of employees are changed. This step is optional, and is intended to help narrow down the list of employees to make selecting / changing employee values in the final steps of the tool easier.

Navigate to the Filter View tab, select the appropriate entity at the left of the screen. Select the appropriate field from the field column and drag to the filter view.




In the filter, select the field condition then select the appropriate field option. Once complete, click the 'Bulk Change' button at the bottom of the 'Filter View' screen.




Select 'Bulk Change Employee Values' and 'Next'




Select the desired field to be changed. Only one field may be bulk changed at a time. If you cannot find the field you are looking for in the list then it is not eligible to be bulk changed. The Bulk Change tool can only work on fields stored a certain way in our database, and some specialty fields are stored differently.




As the system is date effective, all changes to be processed must be completed at a specific point in time. Choose the Change Option required (the option selected below generally remains as the default). Click on the 'As at' or 'From' button to choose an Effective Date.




Depending upon how much data is to be updated, the changes can either be manually entered in the New Value field or select the Export button to generate an csv file where the changes can be made and then imported.




If data is entered into the New Value field, once complete select Next, however if the Export button is selected, the steps below are required.

If the Export button is selected, a new window will appear requiring the selection of the file location where the CSV document will be exported to. To change the file location, select the blue button to the right of the File Path field.




The Bulk Change report will be produced as a CSV file, where data can be overridden within the selected field to be changed.




Once the changes have been made, save and close the file then Import it into the Bulk Change tool.

A new window will appear and, if the field names within the Export file have not been changed the field mapping should be automatic. If however the field names have been changed, the fields will need to be mapped manually.




At this point whether you chose to export and import or change values on the screen, the New Value column should be populated for any employees you wish to change. If you leave the New Value column blank for an employee it will not remove the current value, it will simply make no change.




The final stage in the Bulk Change Wizard will enable a change report to be exported. Select Finish
