Pay Packet Warnings



Once a pay run has been created and information imported by the timesheet, a quick check of the pay packets should be done to ensure there are no errors. These warnings were designed to help reduce errors when running your pay. Some would be hard to notice by hand (e.g. Gross Pay Variance) or easy to overlook (e.g. Deduction not Taken). It is also possible to check these using the Error and Warnings Report, if that is preferable.



In the Pay Run screen, the below symbol indicates either a Warning or Error for pay packets that requires a review.




For details about the Error / Warning sign, open the relevant employee's pay packet and click on the 'Warnings' button next to the 'Add Component' on the bottom-right side of the page.
Common Warnings are:

  • Balance Zero (the pay packet has a zero balance, i.e. employee was not paid)
  • Deduction Not Taken (if employee has no pay or insufficient balance, the deduction(s) will not be taken)
  • Gross Pay Exceeded Percent (usually set at 8% more than previous pay)
  • Gross Pay Exceeded (amount set per company)
  • Holiday Liability Negative
  • Ordinary Hours Exceeded
  • Accrual Exceeded




With a large payroll, it may be easier to check for one type of Warning at a time, instead of all at once. To check for one type of Warning at a time, click on 'Warnings' in the ribbon to view the different types of Warnings showing then click 'Check All' to remove all the Warnings.




Then click 'Warnings' again and select the warnings you wish to check (E.g. Gross Pay Exceeded). Check all those pay packets indicating that warning; repeat for each other type of warning you wish to check. Make changes to the pay packets as required. All warnings may be dismissed after checking by un-ticking 'Check All' in the 'Warnings' drop-down. An Authorisation Distribution can then be created for all other pay run checks.
