Creating an Annual Leave Standard Accrual Employee Group
This type of annual leave group would be suitable for salaried employees or those employees who work standard hours per week. These Employee Groups are simply carriers of the Annual Leave Standard Accrual component as a Pay Component, which in turn assigns the component to all employees that belong to the Employee Group. The actual leave accrual is done through the component within the Pay Packets. There are a number of Standard Accrual Annual Leave groups set up as defaults within DataPay, however they are unable to be modified in any way. If you require something slightly different, or further variations, then these need to be created.
To set up a new Annual Leave Standard Accrual group, start by navigating to the Employee Groups tab. Select the drop-down box and select Add Employee Group.
Enter a name for the Employee Group and select Annual Leave as the employee group type. Entering an Employee Group Code is optional. If you do not, DataPay will assign one for you. The Start Date will default to the Company start date, or you can choose one of your own, however there is no downside to using the Company start date.
Navigate to the Components Setup screen in the ribbon and select Leave Details under the leave heading.
This is where the Leave Accrual details are set for this particular Employee Group. Enter the Annual Leave Entitlement in Weeks and the Annual Leave Entitlement. For the Accrual, enter the Holiday Percentage (e.g. 4 weeks is 8%, 5 weeks is 10%). Select a Leave Rate Option (you will need to confirm and enter in the Leave Rate Option depending on your company set up).
Navigate to the Pay Components Screen and select the Leave component type link. From the Component combo box select Annual Leave Standard Accrual, and enter an Effective From date. This date should match the start date selected in step 5. Un-tick Exclude From Manual Pay so the accrual is not missed if an employee has only a manual pay packet for a pay period.
