Creating a Pay Condition Employee Group



Pay Condition type Employee Groups are used to dictate the Work Patterns of any assigned employees. They are typically split between salaried (SAL) and timesheet (T/S) style within the name, however there is not great difference to how they are constructed.
First we need to create an empty shell Employee Group as normal, after which can add a Work Pattern.



Navigate to the Employee Groups tab > Select Employee Group drop-down box > Add Employee Group




Enter a name for the new group. For Pay Condition groups these typically follow a set format which may change per company, however the name usually contains:

  • the type (SAL or T/S)
  • the hours per week
  • the days worked if required
  • whether it pays Public Holidays

E.g. "SAL 28 Hours M8, T8, W4, F8 – No Pub Hols"



The Type needs to be set to Pay Condition, however the Employee Group Code and Region are optional. The Start Date can be set to the Company Start Date.




Navigate to the Work Patterns screen. If the work pattern has equal hours across all working days then the Auto Fill function can be used. Simply enter in the Standard Hours Per Week and the Standard Days per week as well as the default Auto Fill Days. The Auto Fill button will then spread the hours out over the selected days evenly.
However, if the hours per day varies (e.g. M8, T8, W4, F8) then after filling out the Standard Hours and Days Per Week, the calendar needs to be filled out manually. Once you have entered in two weeks' worth, DataPay will project the same work pattern logic for any future periods.
This does however limit the work pattern to a 14 day rotation. If you need to set up a work pattern which has a pattern longer than 14 days you will need to set up a custom Work Pattern.




You will also need to enter in a name for your new Work Pattern (typically this is the same as the Employee Group name to avoid confusion) and to select whether it will pay Public Holidays or not.
Un-ticking the Pay Public Holiday tick-box does not prevent these employees from being paid for these days, it will simply stop the employee group from automatically entering a Public Holiday Taken component for any public holidays encountered. The option to automatically Pay Public Holidays is usually seen on salary (SAL) type employee groups opposed to timesheet groups.


Often companies will have two SAL groups with the same work pattern – one paying public holidays by default and one not. This allows employees who go on Parental Leave to be shifted to the non-public holiday paying group while remaining on the same work pattern.


There is type of Pay Condition Employee Group which has no Work Pattern information filled out – a T/S No Std Hours group. There is one available as part of the default DataPay Employee Group list.
